  • Fitness-related data such as workout history, goals, schedules, and body metrics
  • A facial image used to generate a unique “Facial Geometry” for faster check-ins (only if you opt-in)
  • Your original facial photo is automatically deleted after processing and is not retained by Fitway
  • Technical information such as IP address, browser version, and device type
  • Activity data including pages visited and interactions on our platform, collected via cookies or similar technologies

2. How We Use Your Data

  • To provide and improve our SaaS solutions for gyms and fitness centers
  • To manage user accounts and offer customer support
  • To process payments securely using third-party providers (e.g., Stripe, Razorpay)
  • To send notifications via email/SMS (e.g., SendGrid, SMS Gateway Center)
  • For marketing and lead capture through platforms like Meta (Facebook)
  • To provide faster check-ins using facial data analysis when the user has explicitly opted in
  • To maintain the security and functionality of our services
  • Note: We do not sell or share your personal data for profit

3. Data Storage and Security

  • All data is stored securely on servers located in India
  • Encryption, SSL technology, and malware scanning are used to protect your data
  • Personal information is accessible only to authorized personnel who require access to provide and maintain our services
  • No method of online transmission or storage is 100% secure, but we follow industry-standard security practices to protect your information

4. Data Retention

  • We retain personal information only for as long as necessary to provide our services, maintain user accounts, fulfill the purposes described in this Privacy Policy, comply with legal and regulatory obligations, resolve disputes, and enforce our agreements.
  • Account and personal information: Information such as your name, email address, phone number, address, location, and account details is retained while your account remains active or as necessary to provide our services. When you request deletion of your account, we will delete or anonymize the associated personal information within a reasonable period, except where retention is required by law.
  • Facial data: The original facial photograph is automatically deleted after the Facial Geometry has been generated and is not retained by Fitway. The Facial Geometry is retained only for as long as necessary to provide the facial recognition and check-in service. Users may request deletion of their Facial Geometry at any time. Upon deletion of the Facial Geometry or termination/deletion of the associated account or service, the Facial Geometry will be deleted within a reasonable period, except where retention is required by law.
  • Fitness and activity data: Fitness-related information, including workout history, goals, schedules, body metrics, and related activity information, may be retained while the user's account is active and will be deleted or anonymized following account deletion, subject to applicable legal requirements.
  • Payment and transaction information: Payment transactions are processed through third-party payment providers such as Stripe and Razorpay. We may retain transaction and payment-related records for accounting, tax, fraud prevention, dispute resolution, and legal or regulatory purposes for the period required by applicable law.
  • Technical and usage information: Technical information such as IP addresses, device information, logs, cookies, and usage information may be retained for as long as reasonably necessary for security, troubleshooting, analytics, service improvement, and legal compliance.
  • When information is no longer required for the purposes described above, we will securely delete, anonymize, or otherwise dispose of it in accordance with applicable laws.

5. Third-Party Services

  • Payment Processing: Stripe, Razorpay
  • Email & SMS Notifications: SendGrid, SMS Gateway Center
  • Marketing & Lead Capture: Meta
  • These services are only allowed to access your data when necessary to provide their services and are expected to handle information in accordance with applicable privacy and security requirements.

  • You may delete your account anytime via user settings
  • Upon deletion, personal data is removed or anonymized from active systems, except for information that must be retained for legal, regulatory, security, or legitimate business purposes
  • You can request deletion of your facial recognition data at any time via settings
