A gym management software evaluation checklist

Compare gym software using a practical checklist for CRM, memberships, coaching, integrations, data handling, onboarding, exports, and total cost.

The practical answer

Evaluate gym management software by running your real workflows in a demo: capture an enquiry, complete a follow-up, manage a membership, review attendance, book a class, and export a sales record. Confirm what is included, what requires integration, and what staff must do manually.

Prepare five scenarios before the demo

Start with the problems your gym needs to solve rather than a long feature list. Ask reception, sales, coaches, and management where records are missed or work is repeated. Bring anonymized examples so the vendor can demonstrate the sequence without exposing real member information.

  1. A new enquiry needs a visit and later follow-up.
  2. A member changes a booking or asks about membership terms.
  3. A coach needs an assessment and recent progress information.
  4. A manager reviews a member whose attendance has declined.
  5. The accounts team needs a sales export for its existing process.

Write down the desired result for each scenario. Ask to see the complete handover between staff roles, including permissions, rather than only the opening dashboard.

Include exceptions in the demonstration: a frozen membership, a cancelled PT appointment and restored credit, an instructor substitution, a failed payment, a guardian managing a dependant’s access, or an academy makeup session. Ask who can make a correction and how the change is recorded.

Compare the workflow, evidence, and limits

AreaWhat to ask and verify
CRM and salesHow are duplicates, owners, conversation notes, pending follow-ups, and loss reasons handled?
Memberships and paymentsCan the agreed membership rules be represented? Which payment providers and charges apply?
Coaching and membersWhich assessments, progress records, bookings, and branded-app features are included?
Attendance and accessWhich devices and models are supported? What happens if connectivity or a device fails?
Reporting and exportsWhich fields, filters, formats, and permissions are available? Can your accounts team test a sample?
Sports facilities and academiesCan the software support facility operations and the academies using those spaces? Demonstrate your actual academy workflow.
Personal training commissionsHow is session completion confirmed? How are commissions calculated, and how are exceptions reviewed?
Support and onboardingWho helps with migration, staff training, launch, and later issues? What scope is included?
Data and privacyWhere is data hosted? Who can access it? What are the retention, export, and deletion arrangements?
Commercial termsWhat is the billing period, tax treatment, renewal policy, cancellation process, and total agreed cost?

FitWay covers these operational workflows: membership and session-credit ledgers; freezes, extensions, transfers, expiry and refunds; class capacity and waitlists; cancellation, no-show and recurring-booking rules; instructor substitutions and credit restoration; collections, payment recovery and financial review; and household, facility and academy operations. Use your own scenarios to test how the rules work together.

Check the exact integration you need

An integration logo does not specify supported devices, data fields, setup effort, or third-party fees. If you need WhatsApp, InBody, eSSL, a payment gateway, or an accounting export, ask what the actual connection does and test the relevant scenario.

FitWay supports sales exports for Tally; this is not a claim of live synchronization or automated reconciliation. Access-control compatibility should be confirmed for the particular device. Call recording is an Android feature and requires the appropriate notices and permissions. Separate these details from general platform availability.

FitWay also provides settlement matching and accountant exports as financial-review capabilities. Confirm the supported provider and export format for the exact workflow. These capabilities do not change the description of the confirmed Tally sales export into a live synchronization claim.

Distinguish an alert from an automated action

Ask what happens after an alert appears. Does the system merely display a flag, create a task, assign an owner, or send a communication? Those are different capabilities with different operational and privacy implications.

In FitWay, attendance-decline alerts and coaching-attention flags are automatic. Retention follow-up is staff-led, pending/overdue sales follow-ups are presented as a list, and coach workload reports are interpreted by managers. Automatic lead scoring, coach coverage versus hourly footfall analysis, and class-demand timetable recommendations are not currently available.

Request written confirmation of the features your team will use. Treat proposed or roadmap features as future possibilities rather than part of a current buying decision.

FitWay also supports sports facility and academy management. For personal training, a member shares an OTP with the coach after the session to help record completion or attendance, and commissions are calculated automatically after every session. Ask to see your actual commission rules and exception handling; automatic calculation is separate from paying a coach.

Plan migration and staff adoption

Confirm which existing records can be imported, who checks their quality, and how duplicate members or leads will be handled. Agree how to verify membership balances and historical information before relying on the new system. Use a sample migration to reveal missing fields early.

Train each role on the tasks it owns, including what to do when information is wrong or a service is unavailable. An agreed launch plan should identify the person responsible at the gym and the support contact at the software provider. Ask how your business can retrieve its information if it later changes systems.

Common questions

Should I choose the software with the most features?

Choose the scope that meets your actual workflows, staff capacity, and agreed cost. Extra features add little value if the daily tasks your team relies on remain difficult or require unsupported integrations.

What should I get in writing before purchasing?

Confirm the plan, products, enabled integrations, onboarding scope, applicable charges, billing and renewal terms, support arrangements, and relevant data-handling terms. Use the proposal and service agreement as the commercial reference, not assumptions based on a marketing page.
